Custom ERP & Operations Systems
One system that runs your operations, from order to delivery to invoice, with AI handling routine decisions.
The problem we solve
- Orders, inventory, purchasing and accounting each live in a different system, so someone re-keys the same information several times a day and errors slip through.
- Nobody has a reliable live view of stock, open orders or job status, which leads to rush purchases, missed delivery windows and uncomfortable calls with customers.
- Large ERP suites promise everything, but implementation drags on and the result still does not match how your warehouse, shop floor or field teams operate.
What you get with Custom ERP & Operations Systems
Ideal for: Companies with complex operations: multiple teams, warehouses, locations or product lines.
- Process mapping across departments
- Inventory, purchasing and dispatch modules
- Field and warehouse team app
- Finance and accounting integrations
- Role-based dashboards
- AI agents for scheduling, reorders and exceptions
How a food manufacturer could connect production to purchasing
Illustrative example with a fictional business.
Ashgrove Kettle Provisions, a fictional specialty food manufacturer, makes sauces and marinades for regional grocers. Production planning lives in a spreadsheet, raw ingredients are ordered by gut feel, and lot numbers are written on paper. Here is how a phased build would work. Phase one adds a production module: each batch records ingredient lots, yields and packaging, and finished goods appear in inventory automatically. Phase two adds purchasing: when planned batches would push an ingredient below its reorder point, an AI agent drafts a purchase order for the buyer to approve. Phase three connects sales orders from the wholesale portal and pushes invoices to accounting. When a grocer asks which lots went into a delivery, the answer takes a search rather than an afternoon in the filing cabinet.
From kickoff to live
Operations walkthrough
We follow an order from the moment it arrives to the moment it is paid. We visit or video-call the warehouse, shop floor or dispatch desk to see where time and accuracy are lost.
Module plan and data model
We design how products, locations, orders, purchase orders and jobs relate to each other, then agree which module delivers the most value first.
Phased build
Each module is built, tested on real scenarios and released before the next begins. Your existing systems keep running alongside until each part is ready to take over.
Cutover and training
We plan each cutover around your quiet periods, migrate opening balances and records, and train supervisors who then coach their teams.
Run, monitor, extend
We monitor integrations and background jobs, handle fixes, and add AI agents for reorders, scheduling suggestions and exception alerts once the core data is reliable.
What you receive
- Operations platform built module by module around your processes
- Warehouse, shop floor or field app for the people doing the work
- Role-based dashboards for operations, finance and leadership
- Integrations with your accounting, e-commerce and shipping tools
- Process maps and a data dictionary your team can reference
- Full source code and data ownership
- Phase-by-phase roadmap with priorities agreed together
When we’re not the right fit
- If a mainstream ERP already covers your needs and your team has adopted it, we will recommend automating around it rather than replacing it.
- If you need a regulated accounting ledger built from scratch, we will connect to established accounting software instead of reinventing it.
- If no one internally can own the rollout and make process decisions, a phased ERP project will stall.

Frequently asked questions
Can it be built in stages?
Yes, and we recommend it. We start with the module that saves the most and add the rest step by step.
How long does the first module take?
It depends on scope, but a first module is usually planned for several weeks rather than months. We agree the timeline for each phase after discovery, so you are never committed to a single large deadline.
Can it run alongside our current ERP or accounting system?
Yes, and that is often the safest path. We sync with what you have and move responsibilities over one module at a time.
How is our operational data protected?
We use least-privilege access, encryption in transit, scheduled backups and audit logs on key records such as inventory adjustments and approvals. Access is reviewed with you before each release.
What happens if a supplier or process changes later?
Most changes, such as new products, locations or approval rules, are settings in the admin panel. Structural changes are scoped and scheduled as part of ongoing support.
Do we own the system if we stop working with you?
Yes. You own the code, the database and the documentation, and another team can pick it up.
