Reminders & No-Show Reduction
Fewer no-shows and empty slots, without your front desk spending the morning on the phone.
The problem we solve
- A no-show leaves a paid hour empty and pushes other patients or clients further out on the calendar.
- Front desk staff spend the start of each day calling to confirm appointments instead of helping the people in front of them.
- Late cancellations rarely get refilled, because nobody has time to work the waitlist when the slot opens at short notice.

A Monday morning at a physiotherapy clinic in Ontario
Illustrative example with a fictional business.
Northvale Physio, a fictional clinic with four therapists, books most patients weeks ahead. Two days before each visit, patients get a text from the clinic asking them to reply C to confirm or R to reschedule. Each text identifies the clinic and includes opt-out instructions, in line with Canadian anti-spam rules. On Monday a patient replies that she is sick. The AI assistant, which says it is an AI, offers three openings later in the week and moves her booking. Her old 10 a.m. slot goes to the waitlist, and a patient who wanted an earlier visit claims it within the hour. The texts never mention diagnoses or treatment details, only the clinic name, date and time.
From kickoff to live
Connect the calendar
We connect your calendar or practice-management system and agree which appointment types get confirmations and reminders.
Set the timing and wording
We write a confirmation at booking and reminders at the intervals you choose, using minimal details so private information stays out of text messages.
Handle the replies
The AI reads replies such as 'can I move to Thursday?' and offers open slots from your calendar, confirms the change and updates the booking.
Fill the gaps
When a slot opens, the waitlist is offered the time in order, and the first person to confirm gets it. Your team sees every change.
What you receive
- Confirmation and reminder messages with timing set per appointment type
- AI handling of reschedule and cancel replies against live calendar availability
- A waitlist flow that offers open slots in order and books the first to confirm
- Calendar or practice-management sync so your system stays the source of truth
- Opt-out handling and message content reviewed for privacy-minded wording
When we’re not the right fit
- Practices whose scheduling system offers no API, export or integration path at all. We check this on the first call.

Frequently asked questions
Which calendars work?
Google and Outlook calendars and many booking and practice-management systems that offer API access.
Can it call instead of text?
Yes, an AI confirmation call can be added for appointments where a call works better, with the same AI disclosure at the start.
How far in advance should reminders go out?
It depends on how far ahead you book and how hard it is to fill a slot. A common pattern is a confirmation at booking, a reminder a day or two before and a short note on the day. We tune the timing with you after looking at your own cancellations.
Can patients or clients reschedule without calling?
Yes. They reply in plain language, the AI offers open times from your calendar, and the change is written back to your system. Rules such as minimum notice or appointment types that need staff approval are respected.
Is this suitable for healthcare?
Yes, with care. Messages stay minimal and access to data is limited. Healthcare projects are scoped individually, with a BAA where required.
Can reminders go out in more than one language?
Yes. We can send reminders in the language stored on the client record, and the AI can reply in that language when someone asks to reschedule.
