Workflow Automation

We find the repetitive tasks eating your team’s hours and automate them reliably, with monitoring.

Why it matters

The problem we solve

  • Skilled people spend part of every day copying data between systems that don't talk to each other.
  • Manual handoffs mean steps get skipped: an invoice isn't sent, a client isn't onboarded, a status isn't updated.
  • Automations built quickly by someone who has since left tend to break silently, and nobody knows until a customer complains.
What’s included

What you get with Workflow Automation

Ideal for: Teams doing manual data entry between tools.

  • Process mapping
  • Automations in Zapier, Make, n8n or code
  • Error alerts and monitoring

Ways to start

Scoped to your business

Most businesses start with one of these and expand once it’s working. We recommend the right starting point on a short call.

  • One automated process
  • Monitoring and fixes

In practice

A freight brokerage stops retyping load details

Illustrative example with a fictional business.

Feyrin Freight, a fictional freight brokerage, books loads by email. Every rate confirmation used to be retyped into the TMS, the carrier packet chased by phone, and the invoice built by hand after delivery. Now, when a rate confirmation arrives, an automation reads it, creates the load record and posts a summary to the dispatch channel in Slack. If the carrier's insurance certificate is missing or expired, it emails the carrier a request and flags the load. When proof of delivery comes in, a draft invoice is created in QuickBooks Online for an accountant to approve. Anything the automation can't read clearly goes to a person instead of guessing.

How it works

From kickoff to live

01

Map the process

We walk through the workflow with the people who do it today and write down every step, exception and system involved.

02

Design the flow

We decide what runs automatically, where AI helps with reading or sorting, and where a person must approve.

03

Build and test

Automations are built with test data, edge cases and failure alerts before anything touches live records.

04

Hand off and monitor

You get documentation and a named owner, and we watch run history so failures are caught and fixed.

Deliverables

What you receive

  • A process map showing current and automated steps
  • Built automations in Zapier, Make, n8n or custom code
  • Error handling, retries and alerts routed to the right person
  • Written documentation of each workflow, its triggers and its owner
  • A change log so future edits don't break what already works
Honest fit check

When we’re not the right fit

  • Processes that change every week and haven't settled into a repeatable pattern yet
  • Systems with no API, export or email output, where automation would rely on fragile screen-scraping

FAQ

Frequently asked questions

Which tools do you use?

Zapier, Make and n8n for most workflows, and custom code when reliability or volume requires it.

Zapier, Make, n8n or custom code: how do you choose?

It depends on volume, complexity and who will maintain it. Zapier is simple for straightforward flows, Make and n8n handle branching logic well, and n8n can be self-hosted when data needs to stay in your environment. Custom code makes sense for high volume or logic the platforms handle poorly.

Where does AI fit into automation?

AI is useful for steps that need judgment on messy input, like reading an email, sorting a request or drafting a reply. Clear, rule-based steps stay rule-based, because they are cheaper and more predictable that way.

Who owns the automations?

They run in your accounts wherever possible, and you get documentation for each one. If we part ways, your team or another provider can pick them up.

Will automation replace people on our team?

Usually not. It is typically used to remove repetitive data entry so the same team can handle more work and focus on customers. We design approvals so people stay in control of decisions that matter.
